Position Hope Lodge Assistant Manager Location Boston, MA Description Helps to maintain the day-to-day functioning of the Boston Hope Lodge operations, facilities, and programs. Works cooperatively with other Hope Lodge staff to ensure the safety and comfort of guests for the 40-bed facility. Rotating holiday coverage and provides relief coverage for Manager for vacation and other ACS related business. Implements CRM principles as standard business practice.
MAJOR RESPONSIBILITIES
• Maintains the safety and comfort of guests as a primary focus. Oversees facility operations including front desk, coordinates maintenance, hospitality, reservations, customer care, etc. to ensure a positive experience while at the Hope Lodge. Provides ongoing assistance/support to guests, their families, and care givers, ensuring a smooth transition into the Lodge and ensuring that a warm, safe, supportive environment is created and the needs of guests are met. Fosters an atmosphere that is harmonious, positive and comfortable
• Schedules the occupancy of rooms; registers and assigns guests to rooms and informs them of Lodge policies.
• Assists in maintaining necessary Lodge records, including registration, financial records, inventory records of food and supplies, delivery and services records, etc. as directed by manager.
• Makes business-based decisions, maintains accurate files, submits timely and accurate reports; meets timelines, follows through; provides viable and innovative solutions to problems; implements and adheres to approved policies and procedures; represents the organization in a professional manner; makes effective presentations
• Provides services to guests and remains informed regarding guests’ confidential medical matters in order to assist as needed during difficult periods.
• Identifies, recruits and trains volunteers for Hope Lodge activities. Manages volunteer-driven Hope Lodge activities; promotes volunteer/group participation within the Lodge. Provides support in planning, implementation and evaluation of Cancer Control activities.
• Supervises cleaning and maintenance personnel as needed, and purchases cleaning supplies as necessary. Assists with housekeeping and maintenance duties as needed. Oversees that guests perform light housekeeping duties expected of them.
• Recruits, develops and manages staff provides ongoing feedback, coaching and development. Proactively and assertively addresses issues as they arise.
• Assists with Lodge tours as needed.
• Works cooperatively with other Lodge staff and volunteers.
• Recommends changes as appropriate and advises Manager of Boston Hope Lodge of any functional or maintenance problems.
• Collects donations from guests when applicable.
• Undertakes related duties as assigned.
Requirements Minimum Knowledge/Skills Required:
• Bachelor’s degree in Social Work, Nursing, Public Health, or related field, or equivalent combination of education and work experience.
• Experience in a residential setting strongly desired.
• Ability to remain composed under stress and to handle self in a professional manner at all times.
• Commitment to excellent customer service, both internally and externally.
• Takes responsibility for delivering on personal and organizational commitments.
• Ability to respond to changing circumstances and priorities in a focused manner.

Position Summary:
Responsible for the operation of Hope Lodge in the Director’s absence. Provides assistance and support to guests, their family members and caregivers as appropriate. Ensures facility maintenance and safety at all times. Living accommodations onsite will be provided for this incumbent.
Responsibilities:
Must be available at the Lodge for all of the hours assigned (5:00 p.m. – 8:00 a.m. Sunday through Thursday). Position requires overnight stays.
Maintains the safety and comfort of guests as a primary focus. Provides assistance/support to guests, their families, and care givers, and ensures that a warm, safe, supportive environment is maintained and the needs of guests are met.
Maintains visibility and availability to guests to ensure the highest quality of service is provided.
Facilitates the admission of any guest arriving after regular office hours.
Determines the need for medical intervention when the situation arises.
Answers phone calls and direct as appropriate.
Files necessary reports of operations (Seibel and Epitome), conducts maintenance and security checks. Assists in maintaining necessary Lodge records, including registration, payment and financial records, inventory records of food and supplies, delivery and service records, etc., as directed by manage.
Supervises cleaning and maintenance personnel as needed, and purchases cleaning supplies as necessary. Assists with housekeeping and maintenance duties as needed. Oversees that guests perform light housekeeping duties as expected of them.
Scans Lodge and surrounding environment for breaches or threats to safety including fire hazards, local crime, traffic and severe weather, including clearing snow and treating ice as needed. Reports any functional or maintenance problems to Hope Lodge Director.
Recommends changes as appropriate.
Responsible for trash and recycling.
Maintains security at all times, assuring that doors are locked at 10:00 p.m.

Requirements Bachelor’s degree in Social Work, Nursing, Public Health, or related field, or equivalent combination of education and work experience.
One to three years of experience human services, social work or community outreach, preferably in a residential setting.

Our Mission
The mission of The Children's House at Johns Hopkins is to provide a family-centered, supportive residence for children receiving medical care at the Johns Hopkins Children's Center. It is our purpose to keep families together in the midst of medical crisis, to reduce stress and to promote self-help and mutual support. The Children's House also serves as a center for educational, therapeutic and support groups within the community Description The Resident Manager is accountable for the evening and overnight management of the Children’s House, with the objective of providing a safe, warm and comfortable place for critically ill children and their families to stay during treatment. This will include responsibility for supervising the WM’s, schedule coverage for evenings, weekends and holidays, family care; and contributing to house policy and facility maintenance and upkeep.

I Resident Manager Duties include (but are not limited to):
A. Family Care -The Resident Director of Operations will support families by creating an atmosphere of warmth and understanding and will help promote self-advocacy for their needs.
1. Responsible for admission of families to the House after 4:00p.m., and together with the Family Care Manager, the selection of room assignments. In particularly sensitive situations will coordinate room assignments with them, as well.
2. Orients new residents to the House; explains policies/procedures to residents.
3. Respond to emergency calls during the night until 8am.
4. Promotes an atmosphere of “a home-away-from-home”.
5. Provides support and comfort to House residents.
6. Monitors resident behavior along with the Family Care Manager and has responsibility for compliance with policies/rules. Problems not addressed by House policy or which are not resolvable shall be brought to the Family Centered Care Coordinator at the Johns Hopkins Children’s Center and the VP/COO.
7. Keeps informed about families and their children’s medical situations, while respecting their privacy and always respecting their confidentiality.
8. Advocate for the residents’ needs with the Johns Hopkins Children’s Center and with outside community organizations.
B. Supervisory/Administrative:
1. Responsible for supervision of Weekend Managers.
2. Together with the Lead Weekend Manager schedule and run WM meetings to provide information and direction for the WM staff.
3. Ensure schedule provides qualified coverage during evenings, weekends and holidays.
4. Supervise the evening volunteers – provide assistance and a presence during activities.
5. Establish and run a security and emergency preparedness program. Conduct and keep records of drills and actual emergencies.
6. Assist with creating and revising policies, manuals, handbooks, forms, and other written materials. Keep up to date on policy changes.
7. Monitor the House during desk time, periodically walking the floors to interact with families and ensure compliance with house rules.
8. Periodically walk the floors to perform housekeeping duties; empty trash, ensure floors are free of debris, toy room is straightened, kitchens are clean and common rooms are straightened.
9. If a family checks out after 5pm, check their rooms for cleanliness, refill linens and ensure it is prepared for the next family.
10. Along with Family Care Manager, accept referrals from the Johns Hopkins Children’s Center and other designated facilities and make room assignments in compliance with the priority admissions policy.
11. Complete Communication Log page for shift and update day staff upon their arrival.
12. Report housekeeping, maintenance and repair concerns to day staff.
13. Together with appropriate staff review suggestions from residents, committees, etc. and implement when feasible.
14. Identify and recommend issues needing attention.
Requirements Qualifications:
A. Education: College Degree required or commensurate experience. Courses in child care, property management, and training in psychology or social work is helpful.
B. Experience: Minimum five years work experience or comparable life experience, or additional education. Should be acquainted with hospital routines and the needs of people in stressful or crisis situations through work or personal exposure.
C. Skills/Traits: Good communication skills, empathetic, sensitive, and compassionate. Ability to exercise authority, yet flexible when situation demands. Strong coping and helping skills for assisting families in crisis. Comfortable with, and accepting of, persons for all socioeconomic and cultural backgrounds. Strong management skills and ability to follow through on all job responsibilities.
D. Health: Must be in good general health with no history of chronic communicable diseases, which could be hazardous to the House residents. Family members living in the Children’s House would also have to be in good general health without history of chronic diseases, which could be hazardous to the House residents.
E. Living Arrangement: The Children’s House must be the Resident Manager’s primary residence.
F. Official Working Hours: Sunday, 5:00p.m.- 8:00 am, Monday through Thursday, 4:30p.m.-8:00 a.m. and Friday 8 – 10 am.
